Adult Riding Camp 2021
Terms and Conditions
The following represents the Terms and Conditions applicable to the booking of and attendance at our Adult Riding Camps. By booking on one of our Camps it is implicit that you have read and agree with these Terms and Conditions and agree to be bound by them.
Definitions
Adult Riding Camp – Also referred to as “Camp”. The three day multi-discipline training Camp provided by Eland Lodge Equestrian Ltd taking place at our own equestrian facility near Draycott-in-the-Clay.
Delegate – The participant taking part in the Camp and being instructed in one or all of the three key disciplines namely flat work, Show Jumping and Cross Country.
Organiser – Eland Lodge Equestrian Ltd.
Instructor – An approved, experienced trainer, qualified to teach in their particular discipline.
Junior Delegate – A Delegate between the ages of 16-18yrs.
Approved Adult – A person over the age of 18yrs who will attend with the Junior Delegate, be responsible for them and ensure that appropriate supervision is undertaken at all times. The Approved Adult will be responsible for the actions of the Junior Delegate ensuring that all Health and Safety and legal obligations are met including controlling exposure to alcohol.
Additional Guests – Those additional people who may attend with the Delegate as an Approved Adult, friends, supporters or family members. These Additional Guests will be catered for and have access to the other facilities available, a charge of £50.00 per person for their attendance will be made to cover the cost of meals.
Booking and Paying for your Attendance at Camp
Camp dates will normally be announced at the beginning of November, these dates will be available to book approximately 4 days later. A booking will only be accepted if it is secured by the paying of a deposit of £150.00
The balance of the Camp fee of £145.00 is payable three months prior to the Camp commencement date. Up to this date a Delegate may withdraw from the Camp for any reason and will receive a full refund less a £25.00 admin fee. Should the balance of the Camp fee not be paid at this point the Organiser may at its sole discretion reallocate the space to another
Delegate or withdraw the offer of a place, the deposit may be withheld in its entirety if the space cannot be reallocated, if it can be reallocated the Organiser may at its sole discretion refund the deposit less an admin charge of £25.00

If a Delegate wishes to book onto a Camp less than 3 months before the specific Camp date, should a space be available, this will be possible on payment of the full Camp fee of £295.00, no space will be allocated if this full fee is not paid.
After the three month point has been passed, should a Delegate withdraw a refund will only be made if the place can be reallocated it will also be subject to a £25.00 Admin Fee. The withdrawing Delegate will be able to provide a substitute rider, horse or both as long as the Camp fee has been paid in full, a £25.00 admin cost will be applicable in the case of a substitution. The above criteria and process applies to a withdrawal for whatever reason, Eland Lodge will act in good faith at all times but the allocation and confirmation of a place represents a contract between the Organiser and the Delegate.
A withdrawal will only be accepted if it is provided in writing by e mail to [email protected] and a confirmation received. Withdrawals over social media will not be counted.
We strongly advise every Delegate to take out Holiday Insurance to provide cover for any unlooked-for eventualities.

Attendance at Camp
At the time of the collection of the balance of the Camp fee, we will collect a range of information from you in an attempt to place you with an appropriate group. We are entirely dependent on you and your fellow Delegates to provide accurate, honest information. An overly ambitious or pessimistic interpretation of your ability may result in you being placed in an unsuitable group. Whilst every effort is made to ensure that the correct group selection is made the Organiser will not be held responsible for any group selection made in good faith with the information provided by the Delegates.
To attend Camp a Delegate must be at least 16 years old. Between the ages of 16 and 18yrs the Junior Delegate must be accompanied by an Approved Adult who will be responsible for both their welfare and behaviour. The Approved Adult will accompany the Junior Delegate throughout their stay at Camp, this will include night stay if the Junior Delegate is Camping or otherwise staying over at Eland Lodge.
During your attendance at Camp the Organiser will provide the following meals: Day One - lunch and dinner, Day Two - breakfast, lunch and dinner, Day Three - breakfast and lunch. Any special dietary requirements should be made known to the Organiser at the earliest possible opportunity at the very latest when the balance of the Camp fee is paid. The Organiser will make every effort to accommodate any special requirement but reserves the right to charge an additional fee should that be necessary. Should the special dietary requirement prove too onerous the Organiser may decline the provision and the Delegate may be required to provide their own food.
Horse accommodation at Camp will be in Cheval Liberte temporary event stabling, each stable will be provided with a single rubber mat placed by the door and a ready-made bed of two bales of shavings ready for your arrival. Hay and Haylage will be provided on an ad lib basis. You will be responsible for the care of your horse at all times throughout your stay. You will need to bring your own buckets, mucking out equipment, hard feed, haynets if required, tack, rugs, grooming kit, head collar and lead rope. All horses and ponies must be 4 years old or over, should be fully vaccinated and you will need to bring your horse’s passport for inspection.
Your horsebox/trailer, tent caravan etc. can all be left on site during Camp, no additional security will be provided and you will be responsible for all of your possessions whilst at Camp, the Organiser accepts no liability for any loss or damage to your vehicle, equipment or horse howsoever caused.
To ride on site you will need to be suitably equipped. Suitable riding boots, jodhpurs/breeches, a hat and body protector conforming to current BS/BE safety requirements - for Cross Country the hat must be peakless as defined in the BE rule book. We would recommend an air jacket if possible, gloves and a long sleeved top. In addition to the above we would recommend a torch and suitable waterproofs.
You will be under expert tuition during your stay, should an Instructor consider either you or your horse unable to continue they will make you aware, should you disagree with the Instructor you may ask for a second opinion from the Organiser, should the Organiser agree with the Instructor you will refrain from that group session, you or your horse will be re-evaluated before the next session and a decision regarding you continuance made.
The behaviour of Delegates must be of a reasonable nature at all times respectful of their Instructors fellow Delegates, the Organisers staff, other users of the site and the property of the Organiser or other Delegates. Abusive violent or disrespectful behaviour will not be tolerated, should a Delegate be guilty of such behaviour they may be asked to amend their behaviour or in extreme cases may be asked to leave the Camp. The Organiser reserves the right at their sole discretion to exclude any Delegate at any time should their behaviour prove unsatisfactory. Should a Delegate be asked to leave a Camp no refund will be applicable.
Delegates are asked to attend their instruction sessions in a timely manner. Lateness delays the start of a session for the whole group and this is disrespectful to both the Instructor and the rest of the group.
Data Protection
The data you have provided us with will be processed by Eland Lodge in order to facilitate your entry into and the running of this event, as per our privacy policy. Rider Name, Horse Name & Group will be available in the public domain in the form of Schedules.

Force Majeure
Should circumstances beyond our control render the running of the Camp on the proposed date impossible, the Organiser will at their sole discretion reschedule the Camp to the next available date, format or content may need to be amended. Should the Organiser be forced to cancel a Camp, the maximum liability to the Organiser shall be the full Camp fee less any unavoidable expenses. The Organiser will not accept any contingent liability or any cost faced by the Delegate howsoever incurred.
